Office Coordinator

Job Summary

The Office Coordinator be responsible for managing the day-to-day operations of our organization to keep it running smoothly. They will develop organizational processes and systems for office personnel, including filing, billing, accounts payable.

General Accountabilities
  • Manage scheduling, budgeting, and ordering of office supplies
  • Schedule meetings and appointments
  • Organize the office layout
  • Organize and document office operations and procedures and ensure these procedures are being followed by staff
  • Ensure that all items are invoiced and paid on time and develop a system for timely automated payment for recurring orders
  • Coordinate with IT contractor on all office equipment
  • Manage contracts and price negotiations with vendors and service providers
  • Provide general support to visitors who come into the office
  • Assist in the onboarding process for new hires, including phones, email setup, computers, etc.
  • Plan in-house or off-site activities such as conferences and celebrations.
  • Prior experience handling office responsibilities, experience in customer service, or related field
  • Basic knowledge of accounting/HR
  • Excellent written and verbal communication skills; proficient in English-language business writing
  • Highly organized multitasker who works well in a fast-paced environment
Job Qualifications
  • Associate degree required; B.A. or B.S. preferred
  • Understanding of basic computer and electronic functions.
  • Attention to Detail
